Job description Job Summary: We are seeking a detail-oriented and organized individual to join our team as a File Management and Data Entry Assistant. This role involves physical handling of files, accurate data entry, and maintaining confidentiality in accordance with organizational policies. The ideal candidate will be comfortable working in a dynamic environment, lifting and moving boxes of files, and ensuring accuracy in documentation and file organization. Position will last for 1 year. Key Responsibilities: File Handling and Organization Lift and move bankers boxes of files (approximately 20–30 lbs.) between designated work areas. Unpack and sort boxes, systematically removing individual files for review and processing. Re-box files post-processing in an organized manner for shipment to an off-site archiving service. Data Entry and Documentation Accurately enter file-specific data (e.g., file names, dates, reference numbers) into spreadsheets (Excel) or tracking systems. Ensure all entries are complete, legible, and error-free. Confidential File Management Handle all documents in compliance with organizational privacy and confidentiality policies. Safeguard sensitive information and maintain security protocols at all times. Quality Control and Accuracy Confirm all files are correctly labeled and documented before being re-boxed. Perform regular checks to maintain accuracy and consistency in both data entry and physical file management. Workplace Cleanliness and Safety Keep the work area clean and well-organized, ensuring boxes and files are stored and handled safely. Adhere to safety guidelines for lifting and moving heavy items. Qualifications: High school diploma or equivalent required. Previous experience in file handling, data entry, or administrative support preferred. Proficiency in Microsoft Excel and basic computer skills. Strong attention to detail and organizational skills. Ability to lift and move boxes weighing up to 30 lbs safely.
