Summary
Accounting Assistant
Job Status: Full-time, Non-Exempt
Location: Chico, CA (onsite position)
Starting Pay: $20.50/hr.
Reports To: Financial Controller
Position Objectives
This role is responsible for the accurate and timely processing of Accounts Payable and Accounts Receivable while supporting the Finance Team with a variety of additional accounting duties.

Essential Tasks, Duties & Responsibilities (This list may not include all the duties assigned.)
Process Accounts Payable:
- Index vendor invoices in document management system and coordinate approvals
- Code and post vendor invoices and process weekly vendor checks/EFT payments
- Maintain vendor account information and resolve invoice discrepancies
- Prepare annual 1099’s.
Process Account Receivable:
- Record check deposits and wire payments to client accounts.
- Follow up with clients regarding unpaid invoices and apply late fees per company policy.
Assist with Monthly Close Process:
- Code and post bank transactions and account transfers
- Analyze credit card receipts and prepare credit card journal
- Prepare overhead allocation journals
Banking / ACH Processing:
- Process daily ACH files for employee direct deposits and client invoices.
- Respond to Payroll requests for verification of transactions clearing the bank.
- Process daily positive pay uploads to the bank and handle exceptions.
Reporting/Other:
- Prepare Escheatment reporting
- Assist with collating documentation for annual external audits.
- Contribute to other departmental projects / reporting as require.
Position Requirements – Knowledge, Skills & Abilities:
- Experience and knowledge of AR/AP fundamentals
- Strong organizational and time management skills
- Ability to manage workload and act on own initiative to meet deadlines.
- Emphasis on accuracy and consistency
- Proficiency in Microsoft Office including Intermediate Excel skills
- Strong technical skills – adaptable to new software and systems
- Positive, customer focused attitude
- Ability to maintain strictest confidentiality
Education & Experience
- High School diploma or equivalent required.
- Associate's or Bachelor's degree in a related subject preferred.
- Experience: Two (2) years of recent experience maintaining financial records, including accounts payable, accounts receivable or payroll transactions.
- Equivalent combination of education and relevant experience considered.
Working Conditions:
This position is performed in a fast paced office environment with moderate noise. This position involves frequent contact with staff and the public. This position may be stressful at times and contact may involve dealing with angry or upset people. This position must have reliable transportation in order to visit clients and worksite employees. The work hours of this position may be extended periodically based on workload.
Physical Demands:
This position requires prolonged sitting, some bending, stooping and stretching. This position requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. This position requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Performs complex tasks requiring independent knowledge and its application to non-routine situations. This position requires lifting papers or boxes up to forty (40) pounds occasionally. This position requires a minimum typing speed of fifty (50) words per minute.
